Privacy notice

1. who this notice covers

PropertyWatch is a product and brand of Groupites LLC. This notice applies to landlords, property managers, owners, organization administrators, employees, supers, contractors, tenants, occupants, vendors, service professionals, building contacts, invited users, and other people whose information is entered into or communicated through PropertyWatch.

2. information collected

• Account, organization, and contact details, including name, email address, title, role, mailing address, building or unit association, and telephone numbers.
• Property, tenant, vendor, compliance, hearing, inspection, permit, work-order, scheduling, and public-agency records associated with a workspace.
• Messages, replies, call or delivery metadata, communication preferences, opt-in and opt-out events, and records showing when and how consent was obtained.
• Documents, photographs, videos, invoices, estimates, and other evidence uploaded, received by MMS, or captured at a user’s request.
• Security, activity, notification, delivery, and diagnostic records used to operate and protect the service.

Invitation requests and optional newsletters

When you request an invitation, we collect your name, business email, company or portfolio, role, portfolio size, selected workflow or plan, optional message, and campaign attribution supplied with the request. We use this information to review your needs, respond, and manage onboarding. Requesting an invitation does not enroll you in the newsletter or create a paid subscription.

Newsletter signup is a separate choice. Acumbamail processes the email address and signup information you enter into its subscription form, including confirmation, unsubscribe, and campaign engagement records. We use these records to deliver the requested NYC Owner Briefing, practical property workflows, and occasional PropertyWatch product updates. Confirm your subscription using the email sent by Acumbamail; unsubscribe using the link in any newsletter. Newsletter consent does not provide consent for SMS or MMS.

Subscription billing and cookie choices

Stripe processes payment details entered into its hosted checkout and billing portal. PropertyWatch stores billing identifiers, plan and add-on selection, subscription status, promotion dates, and the price and renewal language accepted at checkout; it does not store your card number. Terms acceptance stores the user, version, and acceptance time. Onboarding records store your saved alert review and weekly reminder dismissal time. Cookie choices control whether the optional Acumbamail form loads; see the Cookie Notice for details.

Browser extension

PropertyWatch Form Assistant fills supported NYC compliance forms from a job you authorize in PropertyWatch. It handles the account identity, case and form details, prepared statements and supporting files needed for that job. Depending on what you choose for the filing, that material can include contact and address details, fines, correspondence or health-related information. The extension does not access mailboxes, payment accounts or medical systems. You review every field and declaration, choose supporting attachments, and always press Submit yourself. The extension never submits or pays for you; a request is not an approved reopening, and OATH decides the result.

The device link, its rotating refresh credential, an installation identifier and non-sensitive preferences are kept in local browser storage (chrome.storage.local) so the link can survive a browser restart. Short-lived access tokens, account and job context, pending fill results and receipt captures waiting to synchronize are held temporarily in session storage (chrome.storage.session). The extension does not use browser sync storage or collect your account password.

The extension exchanges authorized account, job and evidence data with app.propertywatch.tech over HTTPS. It places approved values and files on the supported www.nyc.gov OATH forms; the official site receives the filing when you press Submit. On the exact apps.nyc.gov/nyc-mailform/validation receipt page, it can recognize a supported confirmation and send the authorized filing result, submitted statement and receipt capture back to PropertyWatch for your case. An unrelated receipt follows the existing acknowledgment and case-matching flow. It does not collect general browsing history; supported page URLs and form activity are used only to match and perform the requested filing workflow and protect it.

Revoke a linked browser through Settings → Connected browsers, or choose Disconnect in the extension. Revocation prevents future access from that link; it does not erase a filing or receipt already saved in the case. Those records follow the retention and deletion rules in this notice. Browser-local data may also be removed by uninstalling the extension.

Extension-derived data is never sold or used for advertising, creditworthiness or lending. Its use and transfer are limited to the disclosed form-assistance purpose and related security and reliability, and the exceptions allowed by the Chrome Web Store User Data Policy. Human access is limited to your specific consent, permitted aggregated internal use, security investigation or legal requirements. PropertyWatch follows the Chrome Web Store User Data Policy, including its Limited Use requirements, for information obtained through the extension.

3. how information is used

Information is used to authenticate users, enforce organization and building access, synchronize authorized data sources, coordinate repairs and property operations, prepare human-reviewed working files, send requested alerts and communications, route replies and evidence, support users, maintain audit records, prevent abuse, and improve reliability. Security signals may be used to delay, restrict, or temporarily lock access when activity indicates credential attacks, fraud, unlawful messaging, unauthorized automation, excessive resource consumption, or other misuse.

4. email, SMS, and MMS communications

PropertyWatch may facilitate operational communications among an authorized property organization and its users, tenants, occupants, vendors, supers, and other building contacts. SMS or MMS is enabled for a recipient only when a valid consent basis is recorded. Message frequency varies, and message and data rates may apply. Consent records, delivery results, replies, and opt-out instructions may be retained as part of the communication audit history. Replying STOP ends applicable text messages; HELP requests assistance.

5. service providers and official sources

Information may be processed by hosting, database, storage, email, telecommunications, mapping, security, analytics, and feature-specific processing providers as needed to perform a requested function. The service also exchanges data with official public sources. Providers receive only the information reasonably needed to provide the applicable service and are not authorized to use it for their own marketing.

6. sharing and mobile-information protection

PropertyWatch does not sell or rent personal information. No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Mobile information includes mobile numbers, SMS or MMS opt-in information, and messaging consent records. This restriction does not prevent sharing with telecommunications providers and other processors solely to deliver requested communications, maintain consent and opt-out records, prevent fraud or abuse, or comply with law. Other information may be shared within the authorized property organization, with a recipient or service provider involved in a requested property operation, when directed by an authorized user, or when required to protect rights, safety, and legal compliance.

7. retention and security

Account, contact, consent, communication, case, work-order, evidence, and audit records are retained while needed for the workspace, operational history, dispute handling, security, backup, and legal requirements. Administrative, technical, and access controls are used to protect information, but no system can guarantee absolute security.

8. your choices and account reviews

Authorized administrators can manage company users and building access. Platform users can manage available notification settings. Tenants, vendors, supers, and other contacts can decline optional communications and may reply STOP to text messages at any time. Opting out of text messages does not prevent necessary non-SMS communications about property access, safety, legal obligations, or services. Requests to correct, access, or delete information—or to request human review of an automated security restriction—should be sent to the applicable organization administrator or to PropertyWatch. Some evidence, consent, safety, security, and audit records may need to be retained.

9. business use and children

PropertyWatch is a property-operations service intended for organizations and adults. It is not directed to children, and users must not knowingly submit a child’s personal information unless authorized and legally permitted for a necessary property-management purpose.
