Privacy Notice

1. Who this notice covers

This notice applies to landlords, property managers, owners, organization administrators, employees, supers, contractors, tenants, occupants, vendors, service professionals, building contacts, invited users, and other people whose information is entered into or communicated through PropertyWatch.

2. Information collected

• Account, organization, and contact details, including name, email address, title, role, mailing address, building or unit association, and telephone numbers.
• Property, tenant, vendor, compliance, hearing, inspection, permit, work-order, scheduling, and public-agency records associated with a workspace.
• Messages, replies, call or delivery metadata, communication preferences, opt-in and opt-out events, and records showing when and how consent was obtained.
• Documents, photographs, videos, invoices, estimates, and other evidence uploaded, received by MMS, or captured at a user’s request.
• Security, activity, notification, delivery, and diagnostic records used to operate and protect the service.

3. How information is used

Information is used to authenticate users, enforce organization and building access, synchronize authorized data sources, coordinate repairs and property operations, prepare human-reviewed working files, send requested alerts and communications, route replies and evidence, support users, maintain audit records, prevent abuse, and improve reliability. Security signals may be used to delay, restrict, or temporarily lock access when activity indicates credential attacks, fraud, unlawful messaging, unauthorized automation, excessive resource consumption, or other misuse.

4. Email, SMS, and MMS communications

PropertyWatch may facilitate operational communications among an authorized property organization and its users, tenants, occupants, vendors, supers, and other building contacts. SMS or MMS is enabled for a recipient only when a valid consent basis is recorded. Message frequency varies, and message and data rates may apply. Consent records, delivery results, replies, and opt-out instructions may be retained as part of the communication audit history. Replying STOP ends applicable text messages; HELP requests assistance.

5. Service providers and official sources

Information may be processed by hosting, database, storage, email, telecommunications, mapping, security, analytics, and feature-specific processing providers as needed to perform a requested function. The service also exchanges data with official public sources. Providers receive only the information reasonably needed to provide the applicable service and are not authorized to use it for their own marketing.

6. Sharing and mobile-information protection

PropertyWatch does not sell or rent personal information. Mobile numbers, SMS or MMS opt-in information, and messaging consent records will not be shared with third parties or affiliates for their marketing or promotional purposes. This restriction does not prevent sharing with telecommunications providers and other processors solely to deliver requested communications, maintain consent and opt-out records, prevent fraud or abuse, or comply with law. Other information may be shared within the authorized property organization, with a recipient or service provider involved in a requested property operation, when directed by an authorized user, or when required to protect rights, safety, and legal compliance.

7. Retention and security

Account, contact, consent, communication, case, work-order, evidence, and audit records are retained while needed for the workspace, operational history, dispute handling, security, backup, and legal requirements. Administrative, technical, and access controls are used to protect information, but no system can guarantee absolute security.

8. Your choices and account reviews

Authorized administrators can manage company users and building access. Platform users can manage available notification settings. Tenants, vendors, supers, and other contacts can decline optional communications and may reply STOP to text messages at any time. Opting out of text messages does not prevent necessary non-SMS communications about property access, safety, legal obligations, or services. Requests to correct, access, or delete information—or to request human review of an automated security restriction—should be sent to the applicable organization administrator or to PropertyWatch. Some evidence, consent, safety, security, and audit records may need to be retained.

9. Business use and children

PropertyWatch is a property-operations service intended for organizations and adults. It is not directed to children, and users must not knowingly submit a child’s personal information unless authorized and legally permitted for a necessary property-management purpose.

10. Changes and contact
